1. Organizations using Carecenta EVV
Carecenta EVV is a workforce and electronic visit verification application. User accounts are created and managed by the healthcare or home-care organization for which the user works.
The employing organization determines which clients, visits, records, and functions are available to each user. Questions concerning an account, employment record, client assignment, or agency-controlled record should ordinarily be directed to that organization.
2. Information we collect
Depending on the functions enabled by the user’s organization, Carecenta EVV may process the following information:
Employee and account information
- Name
- Employee or user identifier
- Email address
- Telephone number
- Agency and program affiliation
- Authentication and session information
- Preferred language
- Account permissions and security settings
Client and healthcare information
- Client name and contact information
- Client address
- Appointment and visit information
- Care plans and assigned service tasks
- Diagnoses and other health-related information
- Visit notes
- Client and employee signatures
- Information displayed through the authorized client chart
Location information
Carecenta EVV may collect approximate or precise device location when a user registers an EVV sign-in or sign-out, verifies attendance, calculates the distance from a client location, or uses mapping and routing functions.
Location may be recorded together with the visit date, time, employee, client, appointment, and attendance event.

3. How information is used
Carecenta uses information processed through Carecenta EVV to:
- Authenticate authorized users
- Display assigned clients and visits
- Provide scheduling, mapping, and routing
- Register and verify EVV attendance
- Calculate distance from a client location
- Record care-plan tasks, notes, and signatures
- Support offline operation and later synchronization
- Provide access to authorized client charts
- Maintain security and audit records
- Prevent fraud and unauthorized access
- Meet healthcare, EVV, billing, contractual, and regulatory requirements
- Diagnose technical problems and provide customer support
Carecenta does not use information collected through Carecenta EVV for behavioral advertising.
4. Disclosure of information
Carecenta may disclose information:
- To the healthcare or home-care organization that created and manages the user’s account
- To authorized personnel of that organization
- To service providers that support hosting, communications, mapping, routing, security, or other Carecenta operations
- When directed or authorized by the applicable Carecenta customer
- When required by law, subpoena, court order, government request, audit, or regulatory obligation
- When reasonably necessary to protect clients, users, Carecenta, or others from fraud, abuse, security incidents, or unlawful conduct
- In connection with a merger, acquisition, financing, reorganization, or sale of business assets, subject to appropriate confidentiality protections
Mapping and routing providers may receive route endpoints, addresses, or geographic coordinates when necessary to display maps or calculate directions.
Carecenta does not sell personal information collected through Carecenta EVV.
5. Biometrics
Carecenta EVV may permit a user to unlock the App using biometric authentication supported by the device.
Carecenta does not receive or store the user’s fingerprint, face image, or biometric template. Biometric verification is performed by the device operating system, which returns only the authentication result to the App.
6. Offline information
Carecenta EVV may temporarily store synchronized visit information, tasks, notes, signatures, authentication state, and pending EVV events on the device to support offline operation.
Pending offline records are transmitted to the applicable Carecenta environment when connectivity is restored. Users should protect their devices with an appropriate passcode, biometric lock, and other security controls.
7. Data security
Carecenta uses administrative, technical, and organizational measures designed to protect information against unauthorized access, alteration, disclosure, or destruction.
Information transmitted between Carecenta EVV and Carecenta systems is sent using encrypted HTTPS/TLS connections. Access to information is restricted according to agency configuration, user authentication, and assigned permissions.
No system can guarantee absolute security.
8. Retention and deletion
Carecenta retains information for as long as necessary to:
- Provide Carecenta services
- Fulfill customer instructions
- Maintain EVV, healthcare, billing, payroll, and audit records
- Comply with contractual, legal, regulatory, tax, fraud-prevention, and security obligations
- Resolve disputes and enforce agreements
Carecenta EVV does not permit employees to create their own agency accounts. Accounts are created and managed by the applicable employer or healthcare organization.
Users may request access, correction, or deletion by contacting their organization or Carecenta at support@carecenta.com.
Carecenta may refer a request to the organization responsible for the applicable records. Certain records may need to be retained where deletion is restricted by healthcare, EVV, billing, fraud-prevention, audit, litigation-hold, or other legal obligations.
Where information is retained for such purposes, it will be limited to the information and retention period reasonably required.
9. Children
Carecenta EVV is a professional workforce application intended for authorized users who are at least 18 years old. It is not directed to children.
10. International processing
Information may be processed in the United States or other locations where Carecenta or its service providers operate. Carecenta applies appropriate safeguards as required by applicable law.
11. Changes to this Privacy Policy
Carecenta may update this Privacy Policy to reflect changes to Carecenta EVV, legal requirements, or data practices.
The effective date shown at the top of the policy will be updated when material changes are made.
